This Privacy Policy explains how OutsourcedIn (“we”, “us”) collects, uses, shares, and protects personal information. We provide offshore staffing and managed delivery from the Philippines to Australian companies.

What we collect

Clients & prospects (business contacts)
 
  • Work contact details (name, role, email, phone), company details
  • Communications, meeting notes, contract/admin data
  • Website/app usage (basic analytics/cookies—see Cookies) Candidates & team members (Philippines)
  • CV/resume, work history, skills, certifications, interview notes
  • Assessments/work samples; references (with consent)
  • Employment/HR/payroll data (ID numbers as legally required in PH)
  • Device and access logs for company systems (security) Service delivery data
  • Ticket/task/queue data, SOPs and performance metrics (scorecards)
  • Tooling metadata (e.g., who did what, when, in your systems) Optional add-ons (off by default)

How we collect it

Sharing & disclosures

We share personal information only as needed to deliver the service:
 
  • Your company (for candidates/placements, performance reporting)
  • Vendors: cloud hosting, HRIS/payroll, background checks, email/collab tools, analytics—bound by contracts and confidentiality
  • Professional advisers and authorities where legally required
  • M&A or restructuring: with appropriate safeguards We do not sell personal information.

International transfers

We operate in Australia and the Philippines. Where data moves across borders, we use reasonable safeguards (contractual protections, access controls, encryption in transit/at rest). If EU/UK data is involved, we use approved transfer mechanisms where required.

Retention

We keep data only as long as needed for the purposes above:

  • Candidates (not hired): typically 12–24 months (or sooner on request) Employees (PH): per legal/HR retention requirements Client records: for the life of the engagement plus a reasonable period for compliance and disputes Logs/analytics: short, operationally necessary windows unless legally required When data is no longer needed, we securely delete or de-identify it.

Security

We use technical and organisational measures appropriate to the risk, including least-privilege access, MFA where supported, encrypted storage/transit, device standards or VDI (where enabled), and change logs for sensitive systems. No method is 100% secure, but we work to prevent, detect, and respond to issues quickly.

Your choices & rights

Depending on where you live, you may have rights to:

  • Object / restrict certain processing (e.g., marketing)

Optional monitoring add-ons

If a client explicitly enables time tracking or screen recording, we’ll: 
 
  • Inform affected staff in writing and in the tool
  • Limit collection to what’s needed for attendance/productivity reporting
  • Allow clients to configure working hours, capture frequency, and access
  • Retain data for a limited period for reporting/resolution, then delete These add-ons are off by default and not required to work with us.

We may update this Policy from time to time. We’ll post the new date above and, for material changes, notify clients or staff via email or within our tools.
